These are typical 2026 market ranges, not a quote. They exclude driver gratuity, tolls and parking. Your exact price depends on your pickup city, date, hours, mileage and vehicle.
Every charter price is a stack of separate charges. Once you can see the stack, it gets much easier to spot which line is driving your total and which ones you can influence. Here is a worked example for a church group day trip, priced at 2026 market ranges.
The biggest line on almost every local quote. The clock usually starts when the vehicle leaves the yard (or a set time before pickup) and stops when it returns, not just while riders are on board. A 4 or 5 hour minimum applies even to short runs.
Often called deadhead. If the closest available bus is parked 60 miles away, someone pays for that drive. Booking with an operator or partner near your pickup point keeps this small.
Typically included on local trips. Long tours and multi-state routes sometimes carry a fuel surcharge, so ask whether yours does. Our guide on charter bus cost per mile explains why.
Billed at cost on top of the quote in most cases. City garages, airport staging lots and venue bus lots add up quickly. See do charter buses pay tolls and who pays for parking.
The usual range is 10% to 20% of the base fare, and it is rarely included unless the quote says so in writing. Our driver tipping guide covers etiquette.
Busy Saturdays and holiday weekends can add 10% to 20%. Overnight trips add a driver hotel room and sometimes a second driver. Neither applies to this Wednesday day trip, which is why it lands in the friendlier half of the range.
Charter operators do not all price the same trip the same way. The shape of your itinerary decides which clock gets used, and knowing that ahead of time helps you compare quotes fairly.
Set your vehicle, trip length and headcount to see a 2026 ballpark range and the cost per rider. It uses the same market ranges shown on this page, so treat the result as a budgeting number. A free quote replaces it with a real price.
Excludes tolls, parking and any driver hotel. Peak dates add 10% to 20%. Multi-day trips usually need a driver room each night.
Turn this into a real quoteThe fastest way to overspend on a charter is to book the wrong size. Each rung below shows the seat range a vehicle handles comfortably and the hourly band it sits in. Leave a few spare seats for luggage, coolers or a late addition.
One mini bus usually wins, even after paying for an hour you will not use, because you pay one driver and one minimum instead of two. Two vans only make sense when the group needs to split up during the day.
Close, with two mini buses slightly ahead on paper. Here the final choice comes down to logistics: whether everyone needs to arrive together, how much luggage is coming, and what the venue bus lot can take. Our sizing guide walks through it.
Party buses and school buses are priced by local availability and are not shown on the ladder. See party bus, school bus and charter bus vs school bus.
Group organizers usually need a per-person number for ticket prices, registration fees or a team budget. The table divides each vehicle's minimum booking by the number of riders. Green cells are the efficient fits; orange cells mean you are paying for empty seats.
| Riders | Sprinter van 4 h minimum | Mini bus 5 h minimum | Charter bus 5 h minimum |
|---|---|---|---|
| 12 riders | $35–$70 | $50–$104 | $60–$135 |
| 25 riders | Too small | $24–$50 | $29–$65 |
| 35 riders | Too small | $17–$36 | $21–$46 |
| 45 riders | Too small | Too small | $16–$36 |
| 56 riders | Too small | Too small | $13–$29 |
Two takeaways. A full coach is the cheapest seat in group travel, often under $30 a head for a half-day outing. And filling seats matters more than haggling over the hourly rate: moving from 35 to 56 riders on the same coach cuts the per-person cost by more than a third. Planning for a specific group size? See our guides for 20 people, 40 people and 60 people.
Per-rider figures are rounded and exclude gratuity, tolls and parking.
The same coach can cost very different amounts depending on how the day is shaped. These are the trip patterns we quote most often, with a typical 2026 range before gratuity, tolls and parking.

Sports team travelRunning a repeating route instead of a one-time trip? Employee shuttles, hotel shuttles, convention shuttles and campus routes are priced per vehicle per service hour across the whole schedule, so ask for a recurring rate rather than adding up single trips.
Where the bus starts has as much effect on price as how long you keep it. Dense metros with tight parking and high operating costs sit to the right of each strip; markets with more fleet supply sit to the left. Bars show the charter bus hourly range on a $140 to $330 scale.
Not listed? Other Texas cities such as San Antonio, El Paso and Corpus Christi usually price near the Texas strips above. Upstate trips from Buffalo, Rochester, Syracuse or Albany often come in below the New York City band, though yard distance matters more in smaller markets. Browse every area on our Texas and New York State pages.
"(est.)" marks markets with thinner quote data, where the range is an estimate based on nearby metros.
Charter pricing follows demand. Spring and early summer bring weddings, graduations, proms and school trips; fall brings football, homecoming and convention season. On those dates, buses sell out and rates can rise 10% to 20%. The strip shows a typical year; local events can shift it.
Typical national demand pattern. A big convention, playoff game or festival can make any weekend a peak date in its city.
Moving a trip from Saturday to a midweek day is often worth 10% to 15%. See the cheapest day to rent a charter bus and why weekend rentals cost more.
More on timing: how far in advance to book and the best time of year to book.
A high charter quote is rarely random. It almost always traces back to one of these patterns, and most of them have a practical fix.
| What you see | Likely cause | What to try |
|---|---|---|
| A short trip came back with a big total | The 4 or 5 hour minimum is billing time you do not use. | Fit a second errand into the same block (a lunch stop, a second pickup), or drop to a Sprinter van, which has a shorter 4 hour minimum. |
| There is a charge before your pickup time | The nearest available bus is parked far from you, so the drive in is billed. | Ask whether a closer yard or a licensed partner near your pickup can run the trip. We match nationwide trips to nearby fleets for this reason. |
| The price jumped for a May Saturday | Peak-season demand, often 10% to 20% above an ordinary date. | Check Friday, Sunday or a midweek date. If the date is fixed, book months ahead, before local supply tightens. |
| You are quoted a coach for 26 people | The vehicle is bigger than the group. | Ask for a mini bus quote. Per-rider cost usually drops, and smaller vehicles fit tighter venues. |
| The bus waits six hours while you are inside | You are paying hourly for parked time. | Ask for a split charter (drop off, release the bus, return later). It only saves money when the yard is close, so compare both versions. |
| A two-day trip costs more than two day rates | Driver lodging, and maybe a second driver, are on the bill. | Reshape the days so driving stays inside federal limits, and confirm who books and pays for the driver room. |
| Options you did not ask for are on the quote | Restroom, Wi-Fi, executive seating or a premium coach class. | Keep what the trip needs. An ADA lift is never an optional extra if a rider needs it, so list it at request time. |

Operators use shorthand on quotes and contracts. Knowing these nine terms makes it much easier to compare two prices that look different but describe the same trip.
Hours of service rules come from the FMCSA summary of hours of service regulations. For the operator side, see our driver rules guide and what is included in a charter bus quote.
Once a trip runs past one day, the quote switches from hours to days. The bus and driver stay with your group, so you pay a daily rate for each calendar day plus the costs of keeping a driver on the road. Here is a three-day tournament weekend on a full-size coach.
If any single day would push the driver past federal driving or on-duty limits, the operator must add a relief driver or the itinerary must change. Ask early, because that can reshape the whole budget. More in who pays for driver hotels and our tour group charters page.
Two operators quote the same 6 hour coach trip. One looks $30 an hour cheaper. Put every line on the table and the picture flips. (Illustrative figures.)

No responsible operator can give one nationwide flat price for a charter bus. The honest answer starts with your itinerary.
Two groups booking the same coach on the same day can pay very different amounts because one starts 10 minutes from a yard and the other starts 80 miles away. That is why Charter Buses USA quotes itinerary first. When your request arrives, we:

Most U.S. groups pay $145 to $325 per hour for a full-size charter bus, with a 5 hour minimum, or $1,400 to $3,000 for a full day of about 10 hours. A mini bus usually runs $120 to $250 per hour and a Sprinter van $105 to $210 per hour. Gratuity, tolls and parking are typically extra.
Yes. Most operators book a mini bus or charter bus for at least 5 hours and a Sprinter van for at least 4 hours. A shorter trip is still billed at the minimum, so it often pays to fit a second stop into the same block.
It depends on how full the bus is. A 56 seat coach on a 5 hour minimum works out to roughly $13 to $29 per rider when every seat is filled, and about $16 to $36 per rider with 45 people. A half-empty coach can cost about twice as much per head, or more.
Usually not. The common range is 10% to 20% of the base fare. Some quotes build it in, so check the wording and do not tip twice.
Fuel is typically included on local trips, though long routes may carry a fuel surcharge. Tolls and parking are normally billed at cost on top of the quote, and city garages and venue lots can add a noticeable amount.
Long intercity coach trips are often priced by the mile, commonly around $6.50 to $8.00 per mile in 2026. A 240 mile trip such as Dallas to Houston would land near $1,560 to $1,920 before gratuity and tolls. Ask whether the empty return is included.
Multi-day trips are priced per day, roughly $1,400 to $3,000 per day for a coach, plus a hotel room for the driver each night. If a day would exceed federal driving limits, a second driver is added.
Demand. Spring and early summer Saturdays, graduation weeks, holiday weekends, convention weeks and game days can add 10% to 20%. Midweek trips are often 10% to 15% cheaper than Saturdays.
Per hour, yes: about $120 to $250 versus $145 to $325. For 25 to 35 riders a mini bus is usually the better value. Above 35 riders, a full coach almost always gives the lower cost per person.
Book 3 to 6 months ahead for peak dates and 4 to 8 weeks ahead for ordinary dates. Last-minute charters are often possible, but you will have fewer vehicles to choose from.
Price depends on pickup location, date, hours, mileage, vehicle and trip-specific costs like tolls and driver lodging. Ranges are honest for budgeting; a quote based on your itinerary gives you the real number.
