Perot Museum School Group Transportation: A Bus Trip Planning Checklist
A field trip to the Perot Museum of Nature and Science runs on deadlines, and most of them come due before a single student boards a bus. Getting the bus part right matters just as much: buses use a specific entry route, there is no bus parking at the museum, and your group has to check in at least 15 minutes before entry. This checklist splits Perot Museum school group transportation and booking into six phases, from the first reservation request to the last parent pickup back at school. Print it, tape it inside your planning folder, and check things off as you go.
Everything below reflects the museum’s field trip rules as of fall 2026. The Perot updates its policies, so treat each item as something to confirm with the museum’s group reservations team before you lock it in. The museum sits at 2201 N. Field Street in Dallas, on the edge of Victory Park and the Arts District, and it draws classes from all over North Texas, from Garland and Plano to Waco, Tyler, Wichita Falls and Denton.
Phase 1: 45 to 60 Days Out (Request and Reserve)
- Confirm your district or campus approval process and how long it takes to sign off on an out-of-district trip.
- Pick two or three possible dates that fall on a Perot field trip day.
- Check those dates against federal holidays, Thanksgiving break, winter break and spring break.
- Submit the Perot field trip request form at least 30 days before your preferred date (earlier is better).
- Check whether your campus qualifies as a Title I school and, if so, apply for the museum’s financial aid.
- Ask the bus company for a hold or a quote on your top two dates at the same time you submit the museum request.
The 30-day minimum is a floor, not a target. The museum asks for field trip requests at least 30 days ahead. In practice, a request sent 45 to 60 days out gives you room to shift dates if your first choice is full, and it gives you time to book buses before regional fleets get tight.
Know which days the museum hosts field trips. For the 2026 to 2027 school year, Perot field trips run Monday, Wednesday, Thursday and Friday from August 17 through May 21. Tuesdays open up only during two windows: November to December 2026 and April to May 2027. There are no field trips on federal holidays, during Thanksgiving break, winter break or spring break.
Fall is the easiest season to book. The museum says fall 2026 has the most openings and that available slots drop starting in January 2027. If you have flexibility, a November or early December date is the safest bet.
Title I schools have an aid window that closes December 18, 2026. Schools designated Title I by the Texas Education Agency can apply for financial aid that covers admission to the permanent halls for visits between August 17 and December 18, 2026. The aid does not cover films. Because the request has to come in at least 30 days ahead, the practical cutoff for requesting a Title I aided visit is mid-November. If your campus qualifies, put this item first on your list.
Homeschool co-ops should ask before assuming. Co-ops often plan like a school but are structured differently. Ask the group reservations team whether your co-op books under the field trip program, how they count students across mixed ages, and how the chaperone ratio applies to families bringing several children.
If you are new to running school trips, our parents’ guide to charter buses for school field trips covers the basics that apply to every destination, including how to read a quote and what questions to ask a bus company before you sign.
Phase 2: 30 Days Out (Pay and Lock Headcount)
- Send full payment to the museum no later than 30 days before your visit.
- Confirm your final student count before paying, because the museum does not refund for fewer students.
- Decide on films or add-ons now and include them in the payment.
- Mark the change and cancellation deadline (three weeks before your visit) on your calendar.
- Sign the bus contract and pay any deposit the operator requires.
- Tell teachers and parents that the Moody Family Children’s Museum is not part of the trip.
Full payment is due 30 days before the visit. As of fall 2026, admission to the permanent halls is $8 per student. Required chaperones get in free at a ratio of one adult for every seven students, and extra chaperones beyond that ratio pay $8 each. A class of 98 students, for example, costs $784 for hall admission and comes with 14 free chaperone spots.
No refunds for fewer students. This is the item that catches the most coordinators. If you pay for 98 students and 86 show up, you do not get money back for the 12 who stayed home. Build your count from signed permission slips, not from class rosters, and hold the payment until you have a realistic number. Extra people on the day can buy tickets at the Box Office.
Changes and cancellations need three weeks. The museum asks for changes and cancellations at least three weeks before the visit. Payment can move to a new date, which matters if your district cancels for weather or testing. Put it next to your bus operator’s cancellation terms, because the two rarely line up.
Films and add-ons. Giant-screen films cost $6 per person as of fall 2026. Current options include Penguin Island (20 minutes), T. Rex (24 minutes), Penguins: A Love Story (25 minutes) and Dream Big: Engineering Our World (42 minutes). A Soccer exhibition add-on is available through January 4, 2027. Remember that a 42-minute film eats a real chunk of a three-hour visit.
The Children’s Museum is off the table. The Moody Family Children’s Museum inside the Perot is not available for group visits. If you have pre-K or kindergarten students, set expectations with parents early so no one is surprised.
Phase 3: Two to Three Weeks Out (Bus and Chaperones)
- Confirm you have one chaperone age 21 or older for every seven students, including high schoolers.
- Do the bus size math with students, chaperones and teachers combined.
- Choose between a yellow school bus and a charter bus based on distance, comfort and budget.
- Send the bus company the museum’s bus route: enter via River Street, Lot A for drop-off and pickup, exit via Broom Street.
- Tell the driver there is no bus parking at the museum and share the off-site option.
- Send chaperones who drive their own cars the parking details for the lot under Woodall Rodgers Freeway.
- Assign chaperones to buses and student groups.
The Perot Museum chaperone ratio
The Perot Museum chaperone ratio is one adult for every seven students, and the adult must be 21 or older. That ratio applies to high school groups too, which surprises teachers used to looser rules for older students. Students must be with a chaperone at all times. The museum is self-guided after check-in, so your chaperones are the supervision. A chaperone who is 19 or 20, even a college student volunteer, does not count toward the ratio.
Recruit one or two more chaperones than you need. Someone always gets sick the night before, and the ratio does not bend on the day.
Bus size math
Add students, chaperones and teachers together, then add a few seats of slack. Here is a quick example:
- 98 students
- 14 required chaperones (98 divided by 7)
- 4 teachers (count them separately if they are not part of the chaperone count)
- Total: 116 people
Two 56-passenger coaches give you 112 seats, which is not enough. You would need a third vehicle, such as a smaller coach, or you would have to trim the teacher count by folding teachers into the chaperone ratio. Our guide on how to assign students and chaperones across multiple charter buses walks through how to keep each chaperone group on the same bus so no one has to regroup in Lot A.
School bus or charter bus?
For a short hop from a Dallas campus, a school bus rental is often the budget answer. Yellow buses are familiar to students and drivers know school routines. Their rated capacity assumes small riders, so older students fill them faster.
A charter coach makes more sense when the drive is long (from Waco, Tyler or Wichita Falls, say), when district buses are tied up on routes, or when you want underfloor bays for lunch coolers and air conditioning that holds up in Texas heat.
For more on picking a vehicle for young riders, read our breakdown of the best charter bus for kids. If you want a coach booked for the whole day with a driver who handles school groups, our school field trip charter bus rental page explains how we set those trips up.
Send the bus route, not the street address
This is the most important transportation item on the whole checklist. The museum’s street address is 2201 N. Field Street, but Field Street is not the bus route. As of the museum’s April 27, 2026 update, buses should:
- Enter via River Street.
- Use Lot A for both drop-off and pickup.
- Exit via Broom Street.
Put this in writing in your trip confirmation to the bus company, and ask the dispatcher to pass it to the actual driver. A driver who follows GPS to the street address may end up circling on Field Street. A Perot Museum bus drop-off that starts in the wrong place can cost you 10 or 15 minutes, which is the entire arrival buffer.
Perot Museum bus parking
There is no bus parking at the museum. After drop-off in Lot A, buses need somewhere to go. The off-site option is LAZ Parking at 1100 McKinney Avenue, which offers a discounted school rate. It is first come, first served, and a museum reservation does not guarantee a space there. LAZ operates the lot, not the museum, so the driver or dispatcher should confirm the rate and current availability with LAZ.
Agree on a backup with your operator if LAZ is full, and settle in the contract who pays any parking fee. When you request a quote for a charter bus to Perot Museum trips, mention the parking situation up front so the operator can price the day correctly.
Chaperones driving their own cars
Chaperone cars can park under Woodall Rodgers Freeway for $15 as of fall 2026. Send that detail in the chaperone packet so no one tries to follow the bus into Lot A. Districts close to downtown, such as those served by our Irving charter bus rental team, can usually keep the whole museum day inside one driver’s shift.
Phase 4: The Week Before
- Preorder box lunches through the Museum Cafe at least three business days before the trip, if you are using them.
- Finalize rosters by bus and by chaperone group.
- Send the roster to chaperones in a privacy-safe format.
- Tell students that backpacks should stay on the bus.
- Write a lunch storage plan: who carries lunches in, where they go, who brings them out.
- Check the weather forecast and plan for heat, rain or cold at lunch.
- Confirm the pickup time, driver name and dispatcher contact with the bus company.
Box lunch preorders close three business days out. If your school’s cafeteria cannot pack lunches, the Museum Cafe sells box lunches that must be preordered at least three business days ahead. For a Monday trip, that means the order goes in by the previous Wednesday. Do not count weekend days.
Rosters should be complete but careful. Each chaperone needs a list of the students in their group. Each bus needs a full passenger list. That does not mean every chaperone needs every student’s medical history and home address. Our guide to the school bus trip passenger roster and student privacy explains how to share what people need without spreading data around.
Backpacks stay on the bus. Backpacks are allowed inside the museum, but the Perot recommends leaving them on the bus. Keep in mind that if the bus heads to off-site parking, anything left on board is out of reach until pickup, so confirm with the driver how the bus will be secured.
Lunch storage plan. The museum has a designated lunch storage area at the bottom of the Level 1 ramp. Assign who carries the bins in and out. Label each bin with the chaperone group name. If lunches ride under the bus, they leave with the bus, so unload them in Lot A before the driver heads to parking.
Weather backup. Groups eat outside on the Plaza and green space. August, September and May can be very hot, and rain can arrive in any month. Staff will give you a bad-weather plan on the day; bring sunscreen and water regardless.
Late return plan. Dallas traffic is unpredictable, and a long drive home to Denton or Tyler can easily run past the end of the school day. Write a parent pickup plan now. Our post on building a parent pickup plan for a late bus return includes a sample message you can adapt.
Phase 5: Trip Day
- Do a headcount on each bus before leaving school.
- Arrive at Lot A at least 15 minutes before your scheduled entry time.
- Unload lunches before the bus leaves for off-site parking.
- Check in at the bus unload point or the red tent on the Plaza with student and chaperone counts.
- Gather at film or timed programs 10 minutes early.
- Stagger lunch on the Plaza.
- Call the driver back to Lot A with enough time for a calm boarding.
- Do a final headcount before the bus pulls out.
Here is a sample timeline for a group with a 10:00 a.m. entry, a film at 11:30 a.m., and a 1:30 p.m. departure. Adjust each time based on your actual entry slot and drive length.
| Time | Step | Who handles it |
|---|---|---|
| 8:30 a.m. | Buses arrive at school; drivers do walkaround checks | Bus driver |
| 8:45 a.m. | Students board by chaperone group; headcount per bus | Bus captain or lead teacher |
| 9:00 a.m. | Depart school (adjust for longer drives) | Bus driver |
| 9:35 a.m. | Enter via River Street; pull into Lot A | Bus driver |
| 9:40 a.m. | Unload students and lunch bins; bus leaves for off-site parking | Chaperones and driver |
| 9:45 a.m. | Check in at the bus unload point or red tent; give student and chaperone counts | Group lead |
| 9:50 a.m. | Store lunches at the bottom of the Level 1 ramp | Assigned chaperones |
| 10:00 a.m. | Scheduled entry; groups begin self-guided exploration | Chaperones |
| 11:20 a.m. | Assemble for the film (10 minutes before showtime) | Chaperones |
| 11:30 a.m. | Film starts (no late seating) | Museum staff |
| 12:00 p.m. | Lunch on the Plaza in staggered waves | Chaperones |
| 12:40 p.m. | Back inside for more hall time | Chaperones |
| 1:00 p.m. | Group lead texts driver to return to Lot A | Group lead |
| 1:15 p.m. | Groups gather; restroom stop; headcount | Chaperones |
| 1:30 p.m. | Board in Lot A; final headcount; exit via Broom Street | Bus captain and driver |
Arrive 15 minutes early, at minimum. The museum asks groups to arrive at least 15 minutes before scheduled entry. With multiple buses and lunch bins to unload, 20 to 25 minutes is more comfortable. Build that buffer into your departure time from school.
Check-in happens in one of two places. Your group lead checks in at the bus unload point or at the red tent on the Plaza. Have both counts written down. If you brought more people than you paid for, the extras buy tickets at the Box Office.
Timed programs do not wait. Gather for films and timed activities 10 minutes before they start. There is no late seating, and there is no refund for a missed program. Ask each chaperone to set a phone alarm 20 minutes before showtime.
Lunch on the Plaza. Groups eat outside on the Plaza and green space. Stagger lunch so all your groups are not trying to collect bins from the Level 1 ramp at the same moment. If staff move you to a bad-weather plan, follow their directions.
Departure from Lot A. Pickup happens in Lot A, the same place you were dropped off. Call or text the driver early enough that they can get from off-site parking back to Lot A without rushing. Once everyone is aboard, the bus exits via Broom Street. Do a full headcount before the door closes, matched against your roster, not your memory.
Phase 6: After the Trip
- Text parents an updated arrival time if the bus is running late.
- Make sure every student is picked up by an authorized adult before staff leave.
- Check the bus for left-behind items before the driver departs.
- Send a short feedback survey to chaperones and teachers.
- Note what worked and what did not in your planning folder for next year.
- Thank the driver and the museum’s group reservations team.
Late return plan in action. If the trip runs long or traffic backs up on the way home, your late-return plan kicks in. Send parents one clear update with a new arrival time, and keep two staff members at school until the last student leaves.
Collect feedback while it is fresh. Ask chaperones what slowed the group down and what they would change. Their answers become next year’s checklist, and they make your Perot Museum school group transportation plan easier to repeat.

Perot Field Trip FAQs
Where do buses drop off students at the Perot Museum?
Buses enter via River Street, drop off and pick up in Lot A, and exit via Broom Street, based on the museum’s April 27, 2026 update. The street address on Field Street is not the bus route, so send the route to your bus company in writing and ask them to pass it to the driver.
Can our bus park at the museum during a Perot Museum field trip?
No. There is no bus parking at the museum. Off-site parking is available at LAZ Parking, 1100 McKinney Avenue, with a discounted school rate, but it is first come, first served and a museum reservation does not hold a space. Ask your operator to confirm the rate and a backup plan.
How many chaperones do we need?
One adult age 21 or older for every seven students, and that includes high school groups. Required chaperones at that ratio get in free; extra chaperones pay $8 each as of fall 2026. Students must be with a chaperone at all times because the visit is self-guided after check-in.
What happens if fewer students show up than we paid for?
The museum does not issue refunds for fewer students, so build your count from signed permission slips. Changes and cancellations need to be made at least three weeks before the visit, and payment can be moved to a new date if you reschedule within that window.
Is a Dallas science museum field trip from Waco or Wichita Falls realistic in one day?
Yes, with planning. Add a generous arrival buffer, choose a charter coach with air conditioning and luggage bays, and talk to your operator about driver hours. Federal rules limit passenger carrier drivers to 10 hours of driving and no driving after 15 hours on duty, so very long days may need a second driver.
Can our school visit the Moody Family Children’s Museum on a field trip?
No. As of fall 2026, the Moody Family Children’s Museum is not available for group visits. Plan your day around the permanent halls, films and any current add-ons such as the Soccer exhibition, which runs through January 4, 2027.
Book Your Bus Before Your Museum Slot Fills
Once your museum request is in, the bus is the next item to lock down. We arrange school trips across North Texas, including from our Dallas charter bus rental service, Plano charter buses for suburban districts, Garland charter bus rental for East Dallas County schools, and Denton charter bus rental for schools coming down I-35E. Tell us your museum date, entry time and headcount, and we will match you with the right vehicles and a driver briefed on the River Street to Lot A route.
