Nassau County

Charter bus rental in Hempstead, NY starts with a question most out-of-area companies never ask: which Hempstead? The village around Main Street and the LIRR terminal is home to about 59,000 people. The town that shares its name runs from Elmont to Seaford and from Floral Park down to the barrier beaches, with close to 800,000 residents. We plan trips for both.

We also plan them around the roads a full-size coach is actually allowed to use. That matters more here than almost anywhere in New York. The Southern State and Meadowbrook parkways pass right by the village, and neither one will take a bus. A good Hempstead itinerary is built on Hempstead Turnpike, Peninsula Boulevard, Sunrise Highway and the expressways, with pickup spots chosen before the day instead of by a driver circling Fulton Avenue.

From a 14-seat Sprinter van for a Hofstra campus visit to three 56-passenger charter buses for a day at the new Belmont Park, we match the vehicle, the route and the timing to your group, then put all of it in one written quote.

Village of Hempstead or Town of Hempstead? We serve both

Search "Hempstead" on a map and you can land in two different places. One is a dense, walkable village of 3.7 square miles. The other is the most populous town in the United States, and the village sits inside it. When a group asks us for a Hempstead bus, the first thing we confirm is the street address.

Why the address changes your quote

A pickup in Elmont and a pickup in Wantagh are roughly 15 miles apart, and they sit on opposite sides of a parkway network that buses cannot use. Elmont sits against the Queens line, where a bus works along Hempstead Turnpike and the Belt and Cross Island parkways are off limits. A Wantagh bus leans on Sunrise Highway. The garage your bus leaves from, the time it needs to reach you and the route your driver files all start from that one line on the booking form.

So give us the house number, the school name or the venue, not just "Hempstead." If your group is spread across several communities, list every stop. We will tell you honestly whether one coach with three pickups works, or whether two smaller vehicles meeting at a central point will save your riders time. Our pickup and drop-off guide covers the general rules, and the pickup board further down this page covers the Hempstead specifics.

Hempstead bus rental options, sized by the seat

Pick the vehicle by headcount first and by the trip second. A 22-person group can ride a mini bus, but if that group is carrying hockey bags or wedding luggage, the answer changes. The ruler below shows where each vehicle in our network sits. Exact seat counts vary by model and are confirmed in your quote.

School bus range shown for adult riders. The same bus seats up to about 72 young children three to a bench.

Full-size charter bus

About 50 to 56 passengers

The workhorse for Hempstead High field trips, Hofstra club travel and anything headed to MetLife, Atlantic City or Washington. Reclining seats, a restroom and a luggage bay large enough for a team's gear. If you are unsure whether your group fits, our capacity guide walks through the math.

Mini bus

About 18 to 30 passengers

Shorter and easier to place on village side streets and in Garden City hotel drives. A strong fit for church choirs, rehearsal dinners and corporate teams heading from Uniondale into Queens. See charter bus vs mini bus if you are between sizes.

Sprinter van

About 10 to 14 passengers

The quickest option for a JFK run, a small executive group or a campus visit. Sprinters handle tight turns well, but many are still commercial vehicles for parkway purposes, so we route them the same careful way. Compare it with a mini bus in our side-by-side guide.

Shuttle bus

About 20 to 40 passengers

Built for repeat loops: hotel to wedding venue, parking lot to office, Roosevelt Field overflow lot to a conference. Wide doors and quick boarding matter more than recliners when the ride is ten minutes and you run it all day.

Executive coach

About 25 to 40 passengers, layouts vary

Wider seating, work surfaces on some layouts and a quieter cabin. Popular with firms in the Uniondale office corridor that move clients to Manhattan meetings or run a board retreat out east.

Party bus

About 20 to 40 passengers

Perimeter seating, lighting and sound for proms, milestone birthdays and bachelorette nights. It is a different vehicle from a coach, with different rules, so read charter bus vs party bus before you book one for a long highway run.

School bus

Up to about 48 adults or 72 children

The budget choice for short, local rides such as a day camp shuttle to a town pool or a youth league run to Eisenhower Park. For trips over an hour, most groups move up to a coach. Our school bus comparison explains why.

Accessible vehicles

Wheelchair lifts on request

Tell us at the quote stage how many riders use wheelchairs or mobility devices. Lift-equipped coaches are available but not unlimited, so early notice matters. What to expect on an ADA-accessible bus.

The parkway rule behind every Hempstead route

Long Island's parkways were designed in the 1920s and 1930s for private cars heading to the state parks. Their stone-faced overpasses look lovely and sit very low. The New York State Department of Transportation posts clearances as low as 6 feet 11 inches on parts of the system, and commercial vehicles, buses included, are banned from these roads.

A full-size coach stands roughly 11 to 12.5 feet tall (see how tall is a charter bus). There is no version of the Southern State that works for it. Bridge strikes on Long Island are often traced to drivers following car navigation apps, which happily send a bus onto a parkway. Our drivers route with commercial-vehicle navigation and a planned route, and that is why a Hempstead trip time on our quote can look a few minutes longer than your phone suggests.

A charter bus is too tall for a stone parkway overpass Side view of a charter bus about 12 feet tall next to a stone arch bridge whose opening is about 7 feet high. 6'11" about 12 ft

Toll bridges and tunnels on these routes are part of your trip cost. Read do charter buses pay tolls for how that works.

Jones Beach and the state parks need a permit

State rules let an outing bus reach a picnic or bathing area in a state park only when the organization sponsoring the outing holds a permit, and the bus must follow the route and park in the field that permit names (9 NYCRR 415.5). If your group is planning a day at Jones Beach or Hempstead Lake State Park, start the permit conversation with New York State Parks early and share it with us. We build the route around it.

One road, five big venues: the Hempstead Turnpike corridor

Hempstead Turnpike (NY 24) is the spine of the town. It runs from the Queens line through Elmont, becomes Fulton Avenue in the village, and carries on past Hofstra, Uniondale and East Meadow. Most of the group trips we plan here touch it at least once. Read it west to east.

  1. Elmont, near the Queens line

    Belmont Park and UBS Arena

The rebuilt Belmont Park opened on September 18, 2026, with a new five-story grandstand and an infield open to fans. The Cigar Mile moves here on December 5, and the Belmont Stakes returns in 2027. Next door, UBS Arena is home to the Islanders.

Game nights and big race days overlap. We confirm the posted coach drop area before the day.

  2. About 6 miles east

    Village of Hempstead

Fulton Avenue, Main Street, the LIRR terminal and the transit center. Dense, busy and full of NICE buses, which is why we stage group pickups at a school lot, a church lot or a side street we have checked, not in the transit bays.

Weekday school dismissal and evening rush slow Fulton Avenue noticeably.

  3. About 7 miles east

    Hofstra University

Hofstra straddles the Turnpike between the village and Uniondale. We move admissions tour groups, athletic teams, commencement guests and student clubs, and we ask the booking department for its preferred coach pickup point, since campus rules change by event.

Commencement weekend in May books early.

  4. About 8 miles east

    Nassau Coliseum and Museum Row

Nassau Coliseum hosts the Long Island Nets, concerts and large expos. Across Charles Lindbergh Boulevard, the Cradle of Aviation Museum and the Long Island Children's Museum are field trip staples.

Big, flat lots make this the easiest loading zone on the corridor.

  5. About 9 to 10 miles east

    Eisenhower Park, East Meadow

Nassau County's big central park, with athletic fields, golf, a lakeside stage for summer shows and a 9/11 memorial. Youth leagues, company picnics and senior outings all use it. Pavilion and field bookings go through Nassau County.

Tell us which parking field your pavilion uses.

North of the Turnpike: Roosevelt Field

The mall on Old Country Road in Garden City is one of the largest in the country and a common meeting point for groups heading out on longer trips. Its outer lots can work for a bus rendezvous, but only with the property's permission. We will not stage a coach there on a guess.

South of the Turnpike: the beaches

Point Lookout, Lido Beach and Atlantic Beach are all in the Town of Hempstead. Summer traffic, narrow barrier-island roads and beach parking rules make timing the whole game. Our beach trip guide covers the general planning, and the permit note above covers the state parks.

Mileages are approximate road distances measured from the Queens city line along NY 24.

Who rides with us in the Town of Hempstead

Hempstead is a school town, a college town, an office town and a party town, sometimes on the same Saturday. Each kind of group needs something different from a bus company. Open the one that fits you.

Every trip, whatever the group, comes with a licensed commercial driver, a written itinerary and one point of contact. The full list of services lives on our group transportation page.

Price my group's trip
Schools and districts

Districts across the town send us field trips to Museum Row, the Bronx Zoo, Albany and Washington, plus band, chorus and robotics competitions. We work to the purchase order process, send driver and vehicle details before the trip and plan loading around your dismissal schedule.

Hofstra and Nassau Community College

Two campuses within a couple of miles of each other produce a steady list of trips: admissions visits, orientation outings, club conferences in Boston or Philadelphia, and away games. Student organizations often book with a faculty sign-off, so we keep paperwork simple and payment terms clear.

College and university charters and college sports travel.

Offices in Uniondale and Garden City

The office towers around Mitchel Field and the Garden City business district hire us for client days in Manhattan, trade shows at the Javits Center, holiday parties and shuttles during parking lot projects. Many of these trips are same-day round trips with a fixed return time, which is the easiest kind of charter to price.

Corporate charters, employee shuttles and moving staff between office buildings.

Weddings and family celebrations

Ceremonies in Garden City and Rockville Centre, receptions in catering halls along the Turnpike, guests spread across hotels near Roosevelt Field. We run shuttle loops so nobody has to drive after the toast, and we plan an early return and a late return so older guests are not stuck until midnight. Multi-day celebrations, including South Asian weddings with several events, are common here.

Wedding transportation, early and late return shuttles and multi-event wedding transport.

Churches and faith groups

Congregations in and around the village book us for retreats, conventions, youth trips and pilgrimages to Washington or Philadelphia. Sunday pickups after service and multi-church trips with several stops are routine.

Church group charters and planning church group travel step by step.

Sports teams and fan groups

High school varsity squads, travel clubs and adult leagues need luggage bay space and a driver who does not mind a 5 a.m. tournament start. Fan groups want the reverse: a coach to UBS Arena, Citi Field, Yankee Stadium or MetLife and a guaranteed ride home.

Sports team buses and stadium trips for fan groups.

Senior centers and community groups

Day trips to casinos, the North Fork, Broadway matinees and seasonal shows. We ask about mobility needs up front, keep boarding steps in mind and schedule rest stops on longer runs.

Concerts, festivals and private events

Coliseum shows, summer concerts, birthday outings and reunions. For a night event, we price the driver's wait time honestly so there is no surprise when the encore runs long.

How far is it from Hempstead? Bus distances and drive times

Measured from the Village of Hempstead on bus-legal roads. Times are typical off-peak drive times for a coach. Weekday rush, a Belmont race day or a summer Friday can add a lot, and we build that into your schedule.

Where one driver is enough, and where it is not

Federal hours-of-service rules for passenger carriers cap a driver at 10 hours behind the wheel and 15 hours on duty before a required break. A Hempstead to Washington round trip in one day, with a full day of sightseeing in between, blows past that. The fix is a second driver or an overnight stay, and your quote will show which one we planned. Our explainer on how many hours a charter bus driver can drive has the details.

Why "25 miles to Manhattan" can mean 90 minutes

Buses cannot take the Grand Central or the Cross Island, so a Manhattan run uses the Long Island Expressway and a tunnel or bridge. Weekday mornings on the LIE are slow. For a 9 a.m. meeting in Midtown, most Hempstead groups leave by 7. For longer runs, see our long-distance travel tips and same-day return trip guide.

Hempstead airport shuttles and cruise port transfers

Hempstead sits between two of the busiest airports in the country, with a third regional airport an hour east. For a group flight, a charter bus beats a fleet of ride-shares on cost and on nerves, because everyone arrives at the curb together with their bags.

Group transfer planning from the Village of Hempstead
WhereApprox. distanceWhat to know for a bus

Hempstead to Manhattan by charter bus: tolls, curbs and timing

A Broadway matinee, a Javits Center trade show, a museum day on the Upper West Side: Manhattan is the single most requested destination from Hempstead. It is also the trip with the most moving parts, and three of them affect your price.

1. The Congestion Relief Zone toll

Since January 2025, vehicles entering Manhattan at or below 60th Street pay a toll, and buses pay each time they enter, not once per day. Charter buses and tour buses are billed at different rates. If your itinerary sends the bus out of the zone to park and back in to collect you, that is a second entry. We plan the day to avoid that where we can, and we show the toll as its own line so you can see it.

2. Where the bus waits

Midtown has very little legal layover space for a 45-foot coach. For a four-hour event, the driver may need to stage outside the core and return at a set time. Read can a charter bus wait during my event and charter bus parking rules before you promise your group a curbside door.

3. The way in

From Hempstead the bus comes in on the Long Island Expressway, then through the Queens-Midtown Tunnel or over the RFK Bridge. Tunnel and bridge tolls are separate from the zone toll. Morning inbound and evening outbound traffic set the clock, so we would rather have you early at the theater than sprinting from a stalled tunnel.

Planning a trip that starts on the other side of the river? See our Manhattan, New York City and Queens pages.

Charter bus, peak$14.40
Charter bus, overnight$3.60
Tour bus, peak$21.60
Tour bus, overnight$5.40

Peak runs 5 a.m. to 9 p.m. on weekdays and 9 a.m. to 9 p.m. on weekends. Entering through the Queens-Midtown Tunnel at peak earns a partial crossing credit. Toll-by-mail rates are higher.

  5. 12:30Bagged lunch at a reserved picnic area.
  6. 1:40Depart, arriving back before buses crowd the loop at dismissal.

Short local trips are billed on a minimum number of hours, so adding the park stop cost almost nothing. More in our museum trip guide.

  5. 10:15Pickup after the crowd thins, at the same marked spot.
  6. 10:40Back at the church lot.

The drive is 25 minutes each way, but the quote covers about five and a half hours. Game length and the post-game crush are the real clock. See sports trip planning.

  3. 5:10Guests reboard after photos for the ride to the reception.
  4. 10:30Coach A runs an early return for families and older guests.
  5. 12:15Last call. Coach B takes everyone else back to both hotels.

Planning 70 percent ridership, not 100, kept the booking to two coaches instead of three. Our guide to estimating wedding shuttle riders explains the math.

Uniondale office to the Javits Center

Riders
38 employees
Vehicles
One executive coach
Stops
Office lot, Javits Center
  1. 6:45Coach at the office lot, coffee on board.
  2. 7:00Depart via the LIE and the Queens-Midtown Tunnel.
  3. 8:20Drop at the Javits Center's bus area on the West Side.
  4. 8:30Coach moves to a paid layover rather than leaving the toll zone.
  5. 4:45Pickup at the same door.
  6. 6:15Back in Uniondale after evening traffic.

We priced a paid layover against a second zone entry and chose the cheaper one. Read trade show transportation.

How much does a charter bus cost in Hempstead, NY?

The honest answer is that it depends on six or seven things, and in Hempstead a few of them carry more weight than they would upstate. Short local runs are usually priced by the hour with a minimum. Long day trips and multi-day tours are priced by the day or by distance. Here is what pushes a Hempstead quote up or down.

  • ↑

Peak dates on the local calendar

Prom and graduation season in May and June, Hofstra commencement, December office parties and big race days at Belmont Park all pull buses from the same pool. Book these early. See peak season booking.

  • ↑

    Crossings into the city

Tunnel and bridge tolls, plus the Manhattan zone toll for each entry. A trip to Newark crosses twice each way.

  • ↑

    Waiting time

A 25-minute ride to UBS Arena still books the bus for the whole game. The driver's time is the cost, not the miles.

  • ↑

    Overnights and long days

Driver lodging, a second driver for very long days, and parking at the destination. Who pays for driver hotels explains this line.

  • ↓

    Weekday and off-season travel

A Tuesday in February costs less than a Saturday in May. The cheapest day to rent a bus has the pattern.

  • ↓

The right size, and one bus instead of two

Two mini buses often cost more than one coach. If your headcount is close to a line, ask us to price both. When to rent more than one bus.

  • ↓

    Stacking stops inside the minimum

If you are paying for a five-hour minimum anyway, a second stop within those hours is close to free, as the Museum Row trip above shows.

Pickup spot board: where a bus loads easily in Hempstead

A 45-foot coach needs room to pull in, open its luggage bays and pull out without backing into traffic. Here is how common Hempstead-area meeting points rate, based on the questions we ask before we say yes to any of them.

  • Easy Room to load, simple exit
  • Workable Fine with permission or timing
  • Tricky Pick a nearby alternative

Nassau Coliseum and Museum Row lots Easy

Wide, flat and close to the Turnpike. On event days, confirm with the venue which lot is open to coaches.

Hotel drives in Garden City Easy

Most have a covered entrance or side drive. Ask the front desk where coaches load so the doorman is not surprised.

School bus loops Workable

Built for buses, but busy at arrival and dismissal. We schedule around your bell times.

Hofstra University Workable

The campus has good coach access, but the right spot depends on the event and the department that booked us. Get the location from your campus contact.

Church and temple lots Workable

Great on weekdays and Saturday mornings. Sunday service times change the answer, and written permission always helps.

Roosevelt Field outer lots Workable

Plenty of space, but private property. We only stage here with the mall's approval.

Main Street and the transit center Tricky

Heavy NICE bus traffic and tight curbs. Transit bays are not for charters. Meet a block or two away at a spot we confirm.

Residential side streets Tricky

Cars parked on both sides and tight corners in much of the village. A nearby school or church lot is almost always better.

Not on the list? Send us the address and we will check the approach, the turning room and the exit before the day. The general rules are in our guide to choosing pickup locations, and how early a charter bus should arrive covers the timing.

How to book a charter bus in Hempstead

Most Hempstead bookings take one form, one phone call and one signature. First-timers can also read how to rent a charter bus for the first time.

  1. Send the basics

Date, headcount, every pickup address, destination and rough times. Our quote form takes about three minutes.

  2. We check the route

A planner maps the trip on bus-legal roads, flags parkway, permit or toll issues and suggests the right vehicle.

  3. Review a written quote

Vehicle, hours, tolls, driver costs and terms, all itemized. Ask us to price alternatives if you are between sizes.

  4. Confirm with a deposit

Your bus is held once the agreement is signed and the deposit is in. Read the deposit and cancellation guide first.

  5. Get driver details before the trip

We send the driver's name, contact number and final itinerary ahead of time, so your group leader and the driver can talk directly on the day.

Have these ready

  • Exact street address for every stop, not just the town
  • Passenger count, with a note on children or seniors
  • Wheelchair or mobility needs
  • Luggage or equipment volume
  • Event start and end times at the destination
  • Any park permit or venue coach instructions
  • A group leader's cell number for the driver

Safety you can verify, not just read about

Every interstate passenger carrier in the United States is registered with the Federal Motor Carrier Safety Administration and has a USDOT number. Anyone can look that number up. We would rather you check us than take our word for it.

Before you book any Hempstead bus company, including us, ask for the USDOT number that will appear on your bus and search it on the FMCSA SAFER system. Our guides on verifying a company's license and insurance and red flags when booking show you what to look for.

Our full standards are on the safety commitment page.

Registered, insured operators

Active operating authority and the federal minimum insurance for passenger carriers, or more. See how the FMCSA regulates charter buses and the FMCSA itself.

Qualified, rested drivers

Both. We pick up in the village and anywhere in the Town of Hempstead, from Elmont and Valley Stream to Wantagh, Seaford and the barrier beaches, as well as the rest of Long Island and New York City. Give us the exact street address so we can plan the right route.

Can a charter bus use the Southern State or Meadowbrook Parkway?

No. Long Island parkways, including the Southern State, Meadowbrook, Wantagh and Northern State, are closed to buses and other commercial vehicles because of low stone overpasses. Our drivers use bus-legal roads such as Hempstead Turnpike, Sunrise Highway and the Long Island Expressway.

Can you take our group to Jones Beach?

Yes, with planning. State rules require the organization sponsoring a bus outing to a state park beach or picnic area to hold a permit that sets the route and the parking field. Get the permit from New York State Parks, share it with us, and we will route the bus exactly as it specifies.

Can you drop our group at UBS Arena or the new Belmont Park?

Yes. Both sit side by side in Elmont, about 20 minutes from the village. We confirm the venue's current coach drop and pickup area before your date, and we plan around overlapping events, since a hockey game and a race day can share the same afternoon.

How long does it take to get from Hempstead to JFK or LaGuardia by bus?

Plan on about 30 minutes to JFK and about 40 minutes to LaGuardia outside rush hour. Weekday mornings and Friday afternoons can double that. We watch arriving flights and adjust pickup times for delays.

Will I pay the Manhattan congestion toll on a charter bus?

If the bus enters Manhattan at or below 60th Street, yes. Buses are charged each time they enter the Congestion Relief Zone, with lower rates overnight. We plan the day to avoid unnecessary re-entries and list the toll as its own line on your quote.

What size bus do I need for 30 or 50 people?

Thirty people usually fit a mini bus if luggage is light, or a larger shuttle or executive coach if it is not. Fifty people need a full-size charter bus, which seats about 50 to 56. If your count sits near a limit, ask us to price both options.

Can you pick up at Hofstra University?

Yes. We regularly move admissions groups, teams and student organizations. Ask your campus contact for the approved coach loading point for your event, since it varies, and we will meet the bus there.

How far in advance should I book a bus in Hempstead?

Four to eight weeks is comfortable for most trips. For May and June, big race days and December weekends, book two to three months ahead. We can sometimes fill last-minute requests, but choice of vehicle shrinks quickly.

Do you have wheelchair-accessible buses?

Yes. Coaches with wheelchair lifts are available on request. Tell us how many riders use wheelchairs or mobility devices when you ask for a quote so we can reserve the right vehicle.

Can the driver wait while we are at our event?

Yes. The driver stays with the bus or at a nearby layover spot and returns at the agreed time. Waiting time is part of the booked hours, so it appears on your quote.

Is alcohol allowed on the bus?

Policies depend on the vehicle, the group and the trip. Alcohol is never allowed for riders under 21, and some coaches and trips do not permit it at all. Ask when you book so the rule is written into your agreement.

How can I check your safety record?

Ask for the USDOT number of the carrier operating your trip and look it up on the FMCSA SAFER website. It shows operating authority, insurance filings and inspection history.
